2026 Community Group and Non-Profit Guidelines

Purpose & Eligibility

The West Windsor Community Farmers Market (WWCFM) is pleased to offer complimentary space to local non-profit organizations and community groups whose missions align with the Market’s goals. Participation is intended for outreach and education purposes only. Eligible groups are those that raise awareness and educate local residents about:

● Food choices and nutrition

● Healthy activities and lifestyles

● Environmental stewardship

● Local economy and culture

● Community enrichment initiatives

Non-Endorsement & Prohibited Activities

The WWCFM does not engage in religious or political endorsement of any kind. Political parties or political advocacy groups will not be invited to participate in the Market.

The following activities are strictly prohibited:

● Protesting on Market grounds (protestors will be asked to leave immediately)

● Soliciting petition signatures

● Fundraising or soliciting donations

● Selling items (unless special written permission has been granted in advance)

Collecting email addresses for newsletters or list-serves is permitted.

Scheduling & Approval Process

All groups must receive written prior approval from the WWCFM Manager or Board Representative before attending.

● Dates are scheduled on a first-come, first-served basis based on available space within our marketplace

● No attendance is confirmed without written communication and approval

Equipment & Display Requirements

Groups are encouraged to bring:

● A 10’ x 10’ canopy to maintain the Market’s visual aesthetics and provide weather protection

● Tent weights (required if using a tent):

○ Minimum 80 lbs per tent (20 lbs/tent leg)

○ Examples: cinder blocks, sand-filled PVC pipes, or weighted water jugs, all must be secured to the tent legs with rope or bungee cords

● Tables, chairs, and display materials

● Small weights or rocks to secure loose papers

● Signage to prominently display organization name using banners, tri-fold boards, or poster signage

The WWCFM does not provide tables, tents, chairs, or tent weights.

Arrival, Check-In & Parking

● Enter the Market at 877 Alexander Road, West Windsor

● Arrive no later than 8:30am

● Check in with the Market Manager upon arrival for setup location

● No vehicles are permitted in the confines of the active market space; please plan to carry all tents, weights, signs, chairs, tables, etc. to your designated location

● Tabling location is at the discretion of the Market Manager.

Please be respectful of farms and vendors arriving simultaneously

Market Hours & Participation Requirements

The Market operates from 9:00am to 1:00pm.

● Groups are required to remain for the full duration of each market day

● Early departure may result being uninvited from future participation

● Vehicles may not re-enter active Market lanes until 1:00pm or after

Conduct During the Market

Participants must:

● Remain behind or near their assigned table/tent.

● Avoid actively soliciting shoppers or vendors.  No hawking or soliciting.

● Refrain from distributing flyers by walking throughout the Market or placing informational materials on vehicles.

If space permits, additional flyers may be left at the Market Information Tent for future display.

Weather Policy

The WWCFM operates rain or shine. In the event of severe inclement weather:

● The Market Manager will determine cancellation of groups and/or the Market.

● Groups will be notified promptly.

● Every effort will be made to reschedule participation.

A current contact name and cell phone number must be supplied to our Managers upon scheduling.

Founded in 2004, the West Windsor Community Farmers Market (WWCFM) provides community residents with access to New Jersey-grown, raised, and produced fresh products by enabling farmers in Mercer County and surrounding counties to sell directly to consumers.

The WWCFM is committed to:

Supporting small, independently owned farms and local food businesses

Educating families about the benefits of local agriculture

Encouraging healthy lifestyles
